Menrva is a modular client-services platform. Your workspace is installed on dedicated infrastructure, accessible via browser or the Desktop App on Mac and Windows.
Your dashboard
When you log in you'll land on the Overview tab — a snapshot of your open projects, upcoming meetings, tasks, tickets and form submissions. From here you can navigate to any module using the left navigation bar.

Logging in for the first time
How to access your Menrva dashboard and what to expect on first login.
Your Menrva dashboard lives at a unique URL provided by your account admin — usually something like yourcompany.pod.ooph.co or a custom domain.
Step-by-step
Open your dashboard URL
Navigate to the URL provided by your admin in any modern browser. Chrome, Firefox, Safari and Edge are all supported.
Enter your username and password
These will have been set up by your admin. If you don't have them, contact whoever manages your Menrva account.
Set up two-factor authentication
On first login you'll see a prompt to enable 2FA. We strongly recommend doing this — it takes under a minute. How to set up 2FA →
Explore the Overview dashboard
You'll land on the Overview tab — showing your open projects, meetings and tasks at a glance. Use the left navigation to explore each module.

Setting up two-factor authentication
Add an extra layer of security to your Menrva account with TOTP-based 2FA.
What you'll need
An authenticator app on your phone such as Google Authenticator, Authy or 1Password.
How to enable 2FA
Open your profile
Click your name in the top-right corner of the dashboard, then select Profile.
Scroll to Two-Factor Authentication
In the profile panel, scroll down to the Two-Factor Authentication section and click Set up 2FA.
Scan the QR code
Open your authenticator app, tap Add account and scan the QR code displayed on screen.
Enter the 6-digit code
Type the code shown in your authenticator app into the confirmation field and click Enable. 2FA is now active.

Ordinis — Pipeline & Project Management
Manage client projects, track stages and keep your team aligned in one place.
Ordinis is the core pipeline module. It gives you a tabular or board view of all your client projects, with custom stages, statuses, owners and fields.
Key concepts
- Pipelines — A pipeline is a collection of projects. You can have multiple pipelines (e.g. Sales, Onboarding, Active Clients).
- Projects — Each row in the pipeline is a project. A project has a name, owner, status, stage, and any custom fields you've defined.
- Stages — The stage shows where a project is in your process. You can define your own stages in Settings → Pipelines & Projects → Default Stages.
- Statuses — The status reflects the overall health of a project (e.g. Ongoing, Completed, On Hold). Customise these in Settings → Project Statuses.
Views
Ordinis supports two views — switch between them using the Board View button in the top right:
- Table view — The default view. See all projects in a sortable, filterable table.
- Board view — A Kanban-style view grouped by status. Drag and drop projects between columns.

Agenda — Calendar & Scheduling
Schedule meetings, create booking pages and sync with your external calendar.
Agenda is your team calendar. You can create events, set up public booking pages for clients to schedule meetings, and sync with Google or Outlook Calendar.
Key features
- Events — Create internal meetings, client calls or any time-blocked event directly in Agenda.
- Booking pages — Share a public link that lets clients book a meeting with you. You define your availability, meeting duration and buffer time.
- Calendar sync — Connect Google or Outlook Calendar so all events stay in sync across both platforms.
- Calendly integration — Already using Calendly? Connect it to pull booked meetings straight into Agenda.

Tessera — Support Ticketing
Manage client support requests, bugs and internal tasks with a Kanban-style board.
Tessera is a lightweight ticketing system built into Menrva. Create boards with custom columns, assign tickets to team members, and track resolution progress.
Concepts
- Boards — A board is a workspace for a category of tickets, e.g. Client Support or Bug Reports.
- Columns — Each board has columns (like Open, In Progress, Resolved). You can customise column names and colours.
- Tickets — Each ticket has a title, description, priority, assignee and status. Tickets can be linked to a project in Ordinis.

HubSpot Live Sync
Two-way live sync between your HubSpot CRM and Menrva pipelines.
HubSpot Live Sync creates a real-time two-way connection between Menrva and your HubSpot account. Changes made in either platform are reflected in the other within seconds.
Setting up the connector
Open Integrations
In Ordinis, click the Integrations button in the top-right toolbar.
Select HubSpot Live
Click the HubSpot Live tab and then Connect HubSpot.
Authorise in HubSpot
You'll be redirected to HubSpot to grant Menrva access. Sign in and click Allow.
Select your pipeline
Choose which HubSpot pipeline to sync and click Start Sync. Your deals will appear in Ordinis within moments.

Inviting your team
How to add users to your Menrva workspace.
Go to Settings → Users in your dashboard and click + Invite User. Enter their name, email address and role. They'll receive login credentials by email.

Creating pipelines
How to add and configure pipelines in Ordinis.
Go to Settings → Pipelines & Projects and click + Add Pipeline. Give it a name and colour. You can then add custom columns, set default stages and configure which fields appear in the project panel.

Adding & editing projects
Creating and managing projects within a pipeline.
Click + New in the header or + Add a New Project at the bottom of the table. The project panel opens on the right — fill in the details, assign an owner, set the stage and status, and click Save. Click any row to edit an existing project.

Custom stages & statuses
How to define your own pipeline stages and project statuses.
Go to Settings → Pipelines & Projects. Under Default Stages enter your stages as a comma-separated list (e.g. Scoping, Implementing, Launch, Live). Under Project Statuses enter your statuses. These apply across all pipelines and workflows.

Board view
The Kanban board view in Ordinis.
Click Board View in the top-right of Ordinis to switch from the table to a Kanban layout. Projects are grouped by status. Drag and drop cards between columns to update their status instantly.

Booking pages
Share a public booking link so clients can schedule meetings with you.
In Agenda, click Settings (the gear icon in the top-right). Set your availability hours, meeting duration and buffer time. Copy the booking link and share it with clients. When someone books, it appears automatically in your Agenda calendar and triggers a confirmation email.

Calendar sync
Connecting Google Calendar or Outlook to Agenda.
In Agenda, open Settings and click Connect Calendar. Choose Google or Outlook, sign in and grant access. Events will sync both ways — anything in your external calendar appears in Agenda, and meetings created in Agenda appear in your external calendar.

Boards & columns
Setting up Tessera boards and customising columns.
In Tessera, click + New Board to create a board. By default each board has Open, In Progress and Resolved columns. Click the board settings to rename, reorder or add columns and change their colour.

Assigning & triaging tickets
How to assign tickets to team members and manage priority.
Open a ticket and use the Assignee dropdown to assign it to a team member. Set Priority to Low, Medium, High or Critical. High-priority tickets are highlighted in the board view. Assigned tickets also appear on each user's Overview dashboard.

Slack notifications
Receive Menrva alerts directly in Slack.
Go to Settings → Integrations → Slack and click Connect Slack. Authorise the Menrva app in your Slack workspace. You can then configure which events send notifications: new bookings, project stage changes, new tickets, workflow triggers and more.

Xero integration
Sync invoices and agreements with Xero.
Available on Growth and Enterprise. Connect Xero via Settings → Integrations → Xero. Once connected, invoices created in Ratio can be pushed directly to Xero, and payment status syncs back automatically.

Calendly integration
Pull Calendly bookings into Agenda automatically.
In Agenda settings, click Connect Calendly and paste your Calendly API key. Once connected, all future Calendly bookings will appear in your Agenda calendar automatically.

Account portal
Managing your Menrva subscription via the account portal.
Access your account portal at menrva.net/account.html. Enter your email address and you'll receive a magic sign-in link. From the portal you can view your plan, payment history and contact support.

White-labelling
Using a custom domain and your own branding.
White-labelling is available on the Enterprise plan. Contact the Menrva team to set up a custom domain (e.g. app.youragency.com) and to upload your logo and brand colours. Once configured, your clients will see your brand, not Menrva's.
